Data Protection Policy (RGPD and IA Act)

1. Introduction

This policy describes how IsoSpeca solution developed and operated by Multios SAprocesses personal data in accordance with the Regulation (EU) 2016/679 (RGPD) and Belgian data protection legislation. We are committed to guaranteeing confidentiality, security and transparency in the processing of personal data. We also integrate the requirements of the future European IA Actas part of a responsible innovation approach.

3. Collected data

The personal data we collect is limited to what is strictly necessary:

  • Identification data: surname, first name, email, telephone, company

  • Professional data: position, job preferences

  • Technical data: IP addresses, access logs, cookies, navigation

  • Contractual and financial data: contractual documents, invoices, payments

  • Internal document data: customer-supplied content for business AI configuration

 

4. Purposes of processing

Personal data are processed for the following purposes:

  • Supply and customization of the IsoSpec solution

  • Contractual relationship management (customers, partners, suppliers)

  • Monitoring and continuous improvement of service

  • System security and abuse prevention

  • Legal, tax and administrative obligations

  • Professional communication (sending commercial information subject to consent)

 

5. Legal basis for processing

The processing carried out is based on the following legal grounds:

  • Explicit consent (e.g. newsletter subscription)

  • Contract performance (e.g. platform access, customer support)

  • Legal obligation (e.g.: retention of tax documents)

Data is kept only as long as is necessary for the purposes described.
Internal rules ensure that storage periods are limited, and that data no longer required is deleted or anonymized.

Data may be shared exclusively with :

  • Multios authorized personnel

  • Our technical subcontractors within the strict framework of their missions, with contractual guarantees in compliance with the RGPD.

  • Public authorities, in the cases provided for by law

No data is sold or transferred to third parties for commercial purposes.

 

8. Rights of persons concerned

In accordance with the RGPD, every person has the following rights:

  • Right of access to your data

  • Right of rectification

  • Right to erasure (right to be forgotten)

  • Right to restrict processing

  • Right to data portability

  • Right to object

9. Data security

We implement appropriate technical and organizational measures, including :

  • Encryption of sensitive data

  • Regular backups on secure servers

  • Access logging and technical supervision

  • Regular safety audits and tests

  • Data protection training and awareness for staff

 

10. RGPD & IA Act commitments

IsoSpec is based on an artificial intelligence architecture designed according to the principles of compliance and ethics. We are committed to :

  • Full compliance with the RGPD

  • Apply the principles of the future IA Act: transparency, human supervision, risk assessment

  • Guarantee the confidentiality of processed documents and content

  • Do not use any customer content for commercial purposes

  • Offer complete traceability of actions on the platform

 

11. Governance and accountability

  • A Data Protection Officer (DPO) oversees day-to-day processing operations

  • An internal IA Ethics Committee assesses risks, practices and regulatory developments

  • Impact assessments (DPIA, AI impact assessments) are carried out on a regular basis.
